Built for scale, from multi-day conferences to grand banquets. Its 53,000 sq ft West Ballroom seats about 3,000 guests for dinner in full configuration, and smaller ballrooms in the East Building suit groups of a few hundred. How to Choose the Right Venue for Your Corporate Event
After years of designing gatherings across Vancouver, here's what we look at before we fall in love with a room.
- Start with the outcome. What do you want people to feel, learn or decide by the end? Once that's clear, the venue, format and agenda follow.
- Fit the room to your people, not just your headcount. A room that's too big feels empty. One that's too small feels rushed. Aim for comfortable, not just compliant.
- Plan for conversation. Breakout space, round tables and natural light make it easier for people to open up and connect.
- Check what's included. Catering, AV and vendor rules vary a lot. Some venues have preferred suppliers, others let you bring your own.
- Make it easy to get there. Think transit, parking and accessibility for every guest, not just most of them.
- Book early. For peak season, book 6 to 12 months out. Weekends and December dates go first.

Aim for 6 to 12 months ahead, especially for peak seasons like December holiday parties. Most corporate events happen midweek, so weekend dates need even more lead time. Some venues do have last-minute availability, and flexible dates open up more options.

Can I bring my own caterer or event vendors?
It depends on the venue. Some have in-house catering and preferred vendor lists, while others welcome outside vendors. Check each venue's policy before you sign.
Do these venues provide AV equipment?
Most do. The table above shows which venues have in-house AV and which work with an AV partner. If your event needs something specific, like hybrid streaming, confirm it early.
